1. Thank them, briefly
Thank them for taking the time. Keep it short and calm, even if the review stings.
Guide for UK trades
A 2-star review means something went wrong, but the customer still saw some good. Here's a calm four-part reply, what to avoid, and eight short examples you can adapt.
Future customers read the low reviews closely. A calm, specific reply underneath often matters more to them than the rating itself.
Reply within a couple of days. Three or four sentences is plenty.
Thank them for taking the time. Keep it short and calm, even if the review stings.
Name the issue they raised in plain words and say sorry for it. No excuses and no blaming the customer.

Give a direct phone number or email and your name so you can sort it out properly, away from the review.
Swap the [brackets] for real details. Only say what's true for your job.

Yes. A 2-star review usually means something went wrong but the customer saw some good too. A calm, short reply shows future customers you take problems seriously.
Three or four sentences. Thank them, acknowledge the main problem without excuses, mention anything that went well, and offer a direct way to talk it through offline.
No. You can sort out a genuine problem, but never make a refund, discount or freebie conditional on changing or removing a review. That breaks Google's rules.
No guarantees. Google decides how profiles rank and what it shows. Replying helps future customers see how you handle problems. It does not promise higher rankings, more leads or more income.
