Guide for UK trades

How to reply to a 1-star Google review: a UK trades guide

A 1-star review stings. The reply still matters more. Future customers read how you handle it before they ring. Here's a calm way to respond in public, move the detail offline, and eight short examples you can adapt.

Why a calm 1-star reply matters

People checking you out rarely know the full story. They see the star rating and your words underneath. A short, polite reply that opens a private door shows you're professional. An angry or silent profile does the opposite. Your reply is for the next customer as much as for the reviewer.

Five calm steps for a 1-star reply

Wait an hour if you're annoyed, then reply within a couple of days. Keep it to two to four sentences.

1. Acknowledge without arguing

Thank them for the feedback and say you're sorry it wasn't right. That isn't an admission of liability. You're showing readers you take it seriously.

2. Stay short

One to three sentences is enough. Long public essays look defensive. Save the detail for a phone call or email.

3. Invite them offline

Give a phone number or email and ask them to get in touch with the job details. That's where you can actually sort it.

4. Don't argue in public

Skip the point-by-point rebuttal. Nobody reading it can check who said what, and you'll look worse for it. No sarcasm, no "actually", no blame game.

5. Follow up privately

If they contact you, deal with the facts off Google. Sign your public reply with your name so it reads like a real person, not "The Management".

What never to put in a public 1-star reply

  • Customer details. No addresses, prices, invoices, phone numbers or anything personal about them.
  • Liability you dispute. Don't admit fault in writing for something you haven't confirmed. Say you'll look into it.
  • Accusations of faking. Even if you suspect a fake review, don't call it out in public. Report it through Google if policy may apply.
  • Sarcasm or threats. No solicitors talk in the reply. No digs. The next customer is reading too.
  • Offers tied to the review. Never offer a refund, discount or freebie in return for changing or deleting a review. That breaks Google's rules.

Eight example 1-star replies

Swap the [brackets] for real details. Only say what's true for your job.

1. Unhappy with the workmanship

Sorry to hear you're not happy with the finished job, [Name]. I'd like to take a look and put it right if it's down to us. Please email [email] with your address and a couple of photos and I'll get back to you within [timeframe]. [Your name]

2. Price complaint

Thanks for the feedback, [Name]. Sorry the price came as a surprise. We always try to quote clearly up front, so I'd like to understand where that fell short. Please give me a call on [number] and we'll go through it. [Your name]

3. Late or job overran

Thanks [Name], and sorry for the delay on the day. That's not how we want to run a job. I've taken it on board. If anything's still not right, email me on [email]. [Your name]

4. Left a mess

Thanks for letting us know, [Name], and sorry. Clearing up properly is part of the job and we didn't get it right this time. Please contact me on [phone] if you'd like us to come back and finish the tidy. [Your name]

5. Claim of rude staff

Sorry you felt that way, [Name]. That's not the standard we aim for. I'd like to hear what happened so we can look into it. Please get in touch on [phone or email]. [Your name]

6. Can't match the job

Hi [Name], we can't find a job matching this review in our records. If you can send us the date or address privately on [email], we'll look into it straight away. [Your name]

7. Short apology (keep it brief)

Sorry to see this, [Name]. We take every review seriously and would like to put things right if we can. Please contact us on [phone or email]. [Your name]

8. Possible policy issue (stay calm, don't accuse)

Hi [Name], we take every review seriously. If you can share the job date or address privately on [email], we'll look into it. [Your name]

Then, if Google's policies may apply (spam, abuse, competitor, no real experience), report the review through your Google Business Profile. Don't accuse anyone in public. Our guide to reporting fake Google reviews covers the steps.

Common questions

Should I reply to a 1-star Google review?

Yes, in most cases. Future customers read how you handle a bad review. A short, calm reply that invites the person offline looks professional. Leaving it unanswered can look like you don't care.

Should I admit fault in a public 1-star reply?

Not if you dispute what happened. You can say you're sorry it wasn't right and that you'll look into it, without accepting liability in writing. Sort the detail privately once you have the facts.

What if I think the 1-star review is fake?

Stay calm in public. Don't accuse anyone in the reply. Invite them to contact you privately, and if Google's review policies may apply, report it through your Google Business Profile. Only Google can remove a review.

Will replying to 1-star reviews improve my Google ranking?

No guarantees. Google decides how profiles rank and what it shows. Replying helps future customers see how you handle feedback. It does not promise higher rankings, more leads or more income.
